Position Summary:

We are seeking a motivated and detail-oriented Import & Export Coordinator (Air & Ocean) to join our growing team. This role involves coordinating and managing end-to-end air and ocean freight shipments (both import and export), preparing documentation, communicating with clients and overseas agents, and ensuring a high level of customer service and operational accuracy. You will work closely with clients, carriers, agents, and internal teams to manage the full logistics process; from booking and documentation to delivery and billing, while continuously looking for ways to improve efficiency and client satisfaction.

Essential Functions:

  • Export Coordination (Air & Ocean):
  • Communicate with clients, prepare export bookings and quotations.
  • Arrange pre-carriage, create and file shipping documents including Bills of Lading and CERS/B13A.
  • Coordinate with carriers and warehouses for container, LCL, and airfreight shipments.
  • Ensure timely billing: Air (within 1 day), Ocean (within 2 days), Trucking (same day).
  • Communicate with agents and receiving terminals to track cargo and maintain service standards.
  • Monitor documentation and ensure compliance with export deadlines and regulations.
  • Import Coordination (Air & Ocean):
  • Prepare import manifests and customs documentation in line with agents’ consolidation data.
  • Coordinate container delivery and unloading.
  • Distribute manifests and collect original Bills of Lading and payments as needed.
  • Keep clients informed of cargo status, shipment delays, or diversions.
  • Support clients with issue resolution and ensure prompt, accurate responses to inquiries.
  • Client and Agent Communication:
  • Respond to all client inquiries in a timely, professional manner.
  • Handle rate inquiries and coordinate with agents to obtain destination charges.
  • Prepare and follow up on freight quotes.
  • Upsell services where appropriate (e.g., insurance) to improve profitability.
  • Team Collaboration and Continuous Improvement:
  • Collaborate with internal departments to improve processes and client experience.
  • Maintain high performance standards and commitment to continuous improvement.
  • Support fellow employees to achieve shared goals and contribute to a positive work environment.
  • May require occasional travel for client visits or industry conferences.
  • Other job duties as assigned.

Education Requirement:

  • Successful completion of CIFFA Education Program

Required Skills & Knowledge:

  • Completion of CIFFA Education Program required.
  • Minimum 2 years of experience in freight forwarding, marine transportation, or a similar logistics role.
  • Strong communication and customer service skills.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Proficiency with logistics software and general computer applications.
