Position Summary:

The Logistics Coordinator is responsible for coordinating and dispatching transportation services across Over-the-Road (OTR), Full Truckload (FTL), Less-than-Truckload (LTL), and Intermodal freight operations throughout Canada and the United States. This role is responsible for ensuring the efficient movement of freight while providing exceptional customer service, maximizing carrier capacity, and maintaining profitability. The successful candidate will have proven experience in freight brokerage and logistics coordination, including domestic, cross-border, and intermodal transportation. This position requires strong communication, organizational, and negotiation skills, along with the ability to manage multiple shipments simultaneously in a fast-paced environment. The Logistics Coordinator works closely with customers, carriers, rail providers, drayage partners, and internal departments to ensure freight is delivered safely, on time, and in accordance with customer expectations. A willingness to grow professionally and assume additional responsibilities as the company expands its transportation and logistics services is essential.

Essential Functions:

  • Coordinate and manage Over-the-Road (OTR), Full Truckload (FTL), Less-than-Truckload (LTL), and Intermodal freight movements throughout Canada and the United States.
  • Plan, coordinate, and execute intermodal shipments utilizing rail and drayage carriers while ensuring seamless freight movement from origin to final destination.
  • Coordinate container pickups and deliveries from rail terminals, ports, customer locations, warehouses, and distribution centres.
  • Schedule and manage drayage providers to ensure timely movement of containers to and from rail terminals and customer facilities.
  • Monitor rail schedules, terminal cut-off times, container availability, free-time allowances, and equipment utilization to minimize storage, demurrage, and detention charges.
  • Track intermodal containers throughout the transportation cycle and proactively communicate shipment status, delays, and service updates to customers and internal stakeholders.
  • Coordinate appointments with rail terminals, ports, warehouses, distribution centres, and customer facilities to support efficient loading and unloading operations.
  • Work closely with rail providers, steamship lines, drayage carriers, trucking companies, customs brokers (where applicable), and customers to resolve operational issues and maintain service commitments.
  • Manage container control by monitoring equipment availability, empty container returns, chassis requirements, and container utilization.
  • Ensure all required transportation and intermodal documentation is complete and accurate, including shipping instructions, rail billing, container release information, customs documentation (where applicable), and proof of delivery.
  • Develop and maintain a strong understanding of Canadian and U.S. domestic and cross-border transportation markets, including truckload, LTL, intermodal routing options, seasonal freight flows, capacity trends, and pricing.
  • Monitor transportation market conditions and industry developments that may impact customer shipments and proactively communicate potential issues.
  • Build and maintain strong relationships with contracted carriers, rail providers, drayage companies, and transportation partners to ensure reliable capacity and competitive pricing.
  • Source transportation capacity and negotiate competitive freight rates while maintaining company profitability and service standards.
  • Provide timely spot quotations and respond promptly to customer pricing requests.
  • Maintain proactive communication with customers regarding shipment status, service updates, future shipping requirements, and transportation solutions.
  • Ensure shipments are executed according to company operating procedures by selecting the most efficient transportation mode, tendering shipments, monitoring freight movements, and ensuring timely delivery.
  • Communicate daily with dispatchers, drivers, rail providers, carrier partners, and customers to ensure shipments remain on schedule.
  • Track all shipments from pickup through final delivery using the Transportation Management System (TMS) and maintain accurate shipment records.
  • Immediately communicate shipment exceptions, delays, service failures, or customer concerns to management and affected customers while providing timely recovery solutions.
  • Meet established customer service expectations, on-time pickup and delivery objectives, service quality standards, and profitability targets.
  • Assist with customer Requests for Quotations (RFQs), transportation bids, and pricing proposals.
  • Prepare operational reports, shipment summaries, and performance metrics for management and customers as required.
  • Collaborate with Sales, Operations, Accounting, Customer Service, and Management to resolve issues and improve overall service performance.
  • Identify opportunities to improve operational efficiency, reduce transportation costs, and enhance customer satisfaction.
  • Follow all company policies, operating procedures, and applicable provincial, federal, customs, and transportation regulations.
  • Perform other duties as assigned.

Required Skills & Knowledge:

  • Minimum 2-4 years of experience coordinating freight brokerage or third-party logistics (3PL) transportation services.
  • Demonstrated experience managing Over-the-Road (OTR), Full Truckload (FTL), Less-than-Truckload (LTL), and Intermodal freight operations.
  • Strong understanding of Canadian and U.S. domestic and cross-border transportation markets.
  • Experience coordinating intermodal freight movements, including rail, drayage, container management, and terminal operations.
  • Strong knowledge of transportation equipment, including dry van, refrigerated, flatbed, step deck, intermodal containers, chassis, and specialized equipment.
  • Excellent understanding of logistics, transportation, freight brokerage, and shipping terminology.
  • Strong carrier sourcing and freight negotiation skills.
  • Excellent analytical, organizational, and problem-solving abilities with strong attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent customer service, interpersonal, verbal, and written communication skills.
  • Strong data entry skills with a high level of accuracy.
  • Self-motivated with the ability to work independently and collaboratively within a team environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
  • Experience using Revenova Transportation Management System (TMS) is preferred.
  • Experience using CargoWise is considered a strong asset.

Preferred Qualifications:

  • Post-secondary education in Supply Chain Management, Logistics, Business, or a related discipline is considered an asset.
  • Experience working within a freight brokerage, transportation, or third-party logistics (3PL) environment.
  • Knowledge of customs, cross-border transportation processes, and Canadian/U.S. freight regulations.
  • Familiarity with rail operations, container logistics, and intermodal transportation networks.
  • Strong commitment to customer service, teamwork, continuous improvement, and operational excellence.
